Features
SchedulePro Web edition is designed to manage the staff scheduling for small businesses to enterprises with multiple departments / locations allowing employee sharing between departments/locations etc.  It automates staff scheduling of full-time, part-time and casual employees.  Some of the features of Schedule Pro Web are as follows:


Scheduling

Schedules full-time, part-time and casual employees.  Generated schedules can be adjusted, allowing the users full control over the scheduling process.

Auto-Scheduler

If some or all of your employees do not have a shift rotation, then Schedule Pro Web can automatically schedule these employees based on staffing requirements and employees' preferences.  These employees can be scheduled either based on seniority or on an equitable basis.  Minimum rest periods between shifts, maximum hours for the week can be implemented according to your requirements.

Daily Maintenance of Schedules

The changes made to schedules are easily maintained on a daily basis.  If an employee suddenly falls ill, it is a simple matter of entering the information into Schedule Pro Web and the system will provide a list of qualified candidates for replacement based on rules.  The system can also handle split shifts and/or multiple shifts.

Mutual Shift
Exchanges

Schedule Pro Web can process mutual shift exchanges / trade of shifts between employees.  An employee can send a request to another employee for shift trade.  The request is sent to the other employee.  If the other employee accepts the invitation for the shift trade then the request is sent to the manager for approval.

Finding Replacement Employee(s)

Schedule Pro Web provides a list of employees available for work if a particular employee is ill or absent.  This is based on staffing requirements, employees' preferences, seniority, and other rules and regulations defined by the facility (for example, to avoid overtime situations for cost savings).  This list provides all the necessary information for calling an eligible worker.

Refusal File

Schedule Pro Web maintains a refusal file for all employees who are on call.  Whenever an employee declines a shift offered, then information is automatically entered into a refusal file for that employee with the touch of a key.  Refusal file analysis can isolate a pattern, if one exists, and can be used to keep detailed records for both the facility and its employees.

Employee Sharing

Schedule Pro Web allows the employee sharing between multiple facilities.  That one employee can work in more than one facility and Schedule Pro will track his/her schedule across all facilities.

Leave (Time-off) Request

Employee can request vacation or any other type of time-off over the Internet.  The request is sent to the manager for approval.

View Schedules

Employee can view own schedule and optionally the department’s schedule for all employees.

Unavailability

Employee can also specify his unavailability.

Request Shift Trade (Swap)

Employee can request a shift trade with another employee over the Internet.  The other employee can either accept the trade request or decline the trade request.  If the other employee rejects the shift trade request, then a message is sent back to requesting employee.  If the other employee accepts the shift trade request, then the shift trade request is sent to the manager for approval.  The manager can either approve the trade or reject the trade.  In both cases, a message is sent to both employees.

Bid on Open Shifts

Employees can bid on the open shifts that have been posted by a manager.

Management Reports

Schedule Pro Web produces various management reports to aid in cost analysis and forecasting.  For example, the sick leave report can point out a pattern of sick leaves that exists in your organization.  If a particular pattern exists, appropriate measures can be implemented to overcome the problem.   In addition, Schedule Pro Web also produces a variety of reports regarding employees’ stats, hours worked, etc.  Schedule Pro Web has many reports.

Employee Schedules

Schedule Pro Web can print schedules for each employee integrating their shifts and vacations/leaves into a calendar format for easy reference.

Schedule Printing

Schedule Pro Web provides users full control over the schedule printing.  Schedules can be printed according to a variety of options allowing the users to specify exactly which ranks and units to include, as well as the week and printing layout to be used.

Personal Schedule

Employee can view their own schedule over the Internet.  Optionally, a facility may allow an employee to view the schedule of all employees in his department.

Shift List

Schedule Pro Web prints a shift list for each shift displaying the employees scheduled to work.  This information can be invaluable to shift supervisors.

Weekly Schedule with Requirements

Schedule Pro prints weekly schedule that creates as many while cells as the number of employees needed on a shift.  An empty cell indicates under-scheduling and a name in the grey cell indicates over-scheduling.

Task List

Schedule Pro Web prints a task list for each shift.  This will tell you the number of employees assigned for each task as well as number of employees on each BREAK.  This information can be invaluable to shift supervisors.

Time Cards

Schedule Pro Web eliminates the need to maintain time cards.  The information from the Schedule Pro Web system can be used as time cards.

Logical Grouping of Employees

Administrators can specify various “Groups” for easy viewing/managing of schedules.  Each “Group” would comprise of 1 or more positions/ranks and one or more location of work (units).  For example administrator can define a “Housekeeping” group that has all the employees that work in Housekeeping department.  This allows the manager of the Housekeeping department to view/manage the schedules of his own department.

Employee sharing

Schedule Pro Web can handle staff sharing between facilities / departments. 

Administration

Administrators can define user IDs, passwords, system access privileges, default values, facility’s demographic information etc.

Security

Schedule Pro allows the facilities to define user IDs, passwords and system access privileges for each group or user to control access.
